Contract Reappointment Review for Continuing Contract Faculty (CCF)

also known as Clinical Faculty or Music Faculty

Process for Faculty with a 3 to 5-Year Contract

Contract review for reappointment of Continuing Contract Faculty (CCF) with a three- to five- year contract is conducted and completed via Interfolio by the end of the penultimate year of the faculty’s contract as follows:

  • Faculty are notified that they are up for contract review in the Fall of the year before their contract is set to expire.
  • The contract review process via Interfolio uses the same form as the one used for the annual merit review, called Faculty Activity Reporting (FAR). To streamline processes and decrease faculty work, the extended Faculty Activity Reporting is also used for the Annual Merit Review.
  • Faculty complete the annual FAR for the time of their current contract, from their contract’s start date to present (rather than the 1-year period used for merit review).
    • 3-year contract: FAR is completed for 1.5 years, September 2021 through December 2022
    • 5-year contract: FAR is completed for 3.5 years, September 2019 through December 2022
  • A Contract Review case is created in Interfolio. The FAR and other documents attached to the FAR are automatically moved to the faculty’s Interfolio Contract Review case.
  • Departments may request the faculty to provide department-specific materials, which the faculty would upload to their Interfolio Contract Review case.
  • Faculty upload documents not included in their FAR to their Interfolio Contract Review case and complete the New Contract Length Request Form included in Interfolio. Faculty then submit their case to their Department Committee via Interfolio.
  • The Department Committee reviews the faculty’s case, completes the Department CCF Contract Review Form, which is included in the faculty’s Interfolio case, and forwards the case to the Department Chair via Interfolio.
  • The Department Chair reviews the faculty’s case, completes the Chair CCF Contract Review Form, which is included in the faculty’s Interfolio Contract Review case, and forwards the case to the Office of Faculty Affairs via Interfolio.
  • The Dean makes the final decision regarding reappointment and contract length and communicates it to the faculty and to the Department Chair.

Contract Reappointment Review Checklist

  • Faculty Activity Reporting (FAR)
  • Course evaluations for past calendar year (provided by Dean’s office as part of FAR)
  • Course evaluations for remaining available years of the current contract
  • New Contract Length Request form
  • Form which details a Brief Summary of Responsibility (requires meeting with Chair)
  • Materials required by the department (if applicable)
  • Department CCF Contract Review Form
  • Chair CCF Contract Review Form
  • Faculty Activity Reporting (FAR) in Interfolio The FAR is completed for all available year of the current contract, from start date to present. The FAR is automatically moved to the faculty’s Interfolio Contract Review case after the FAR is submitted.
    •  3-year contract = FAR is completed for 1.5 years beginning with contract start date, September 2021 through December 2022
    • 2. 5-year contract = FAR is completed for 3.5 years beginning with contract startdate, September 2019 through December 2022.

Please note, all information entered into Interfolio for the Faculty Activity Reporting from previous years is available all year round and is automatically saved in the FAR and will not need to be re-entered, only updated as needed.

  • Course Evaluations from FAR The Course Evaluations in the FAR (evaluations from the annual review year(s)) are automatically moved to the faculty’s Interfolio Contract Review case after the FAR is submitted.
  • Course Evaluations from Beginning Contract Years - Course evaluations from the beginning of the current contract are also needed.
    • 3-year contract = Course evaluations for Fall 2021 to Spring 2022
    • 5-year contract = Course evaluations for AY 2019-2020, AY 2020-2021, AY 2021- 2022.
  •  Faculty Contract Review Form The Faculty Contract Review Form is embedded in the Interfolio Contract Review case and prompts the faculty to indicate the preferred length of their new contract: 1, 3, or 5years.

Please note the Dean makes the final determination for contract length, taking into account the faculty’s preference as well as Program, Department, and School factors.

  • Department Required Materials Departments may require faculty to include additional documents as part of their contract review. Departments are responsible for communicating additional requirements to faculty, which should then be uploaded to the Interfolio Contract Review case.
  • Department Contract Review Form The Department Contract Review Form provides an assessment of the quality, quantity, and impact of the candidate’s teaching, service, and scholarly activities. Committees should provide a clear statement of the candidate's merit for a new contract and reappointment. The form is embedded in the faculty’s Interfolio Contract Review case.
  • Chair Contract Review Form The Chair Contract Review Form provides an assessment of the faculty’s case with a clear statement of the candidate's merit for a new contract and reappointment. The form is embedded in the faculty’s Interfolio Contract Review case.

October – November Chairs and their faculty who are in their penultimate year of their contract are notified that they will undergo contract review.
January Faculty complete the FAR including all available years of the current contract, from their contract start date to present. FAR and attachments are automatically moved to the Contract Review case in Interfolio after being submitted.
February Faculty upload remaining materials to their Interfolio Contract Review case and complete the embedded Faculty Contract Review Form.
March Department Committee reviews materials and submits the Committee Contract Review Form to the Department Chair via Interfolio.
April Department Chair reviews materials and submits the Chair Contract Review Form to the Office of Faculty Affairs via Interfolio.
May / June Dean’s office notifies the Chair and faculty of review results.
