Contract Reappointment Review for Continuing Contract Faculty (CCF)
also known as Clinical Faculty or Music Faculty
CCF Reappointment Review Policy and Procedures
CCF who are in the penultimate year of their contract and are planning to request a new contract should review the Continuing Contract Faculty Guidelines, which discusses the Reappointment of Continuing Contract Faculty.

By October 15
Faculty who are in the penultimate year of their contract, and their Department Chairs, are notified that they will undergo review.
January
Faculty complete the Faculty Activity Reporting (FAR) for all years of their current contract, from their contract start date to present. FAR and attachments are moved to the CCF Reappointment Review case in Interfolio by Faculty Affairs after being submitted.
February
Faculty upload remaining materials to their CCF Reappointment Review case in Interfolio.
March
Department Committee (also referred to as the Department PTC) reviews materials and submits the Department Committee Reappointment Review Form to the Department Chair via Interfolio.
April
Department Chair reviews materials and submits the Chair Reappointment Review Form to Faculty Affairs via Interfolio.
Summer
Faculty Affairs notifies the faculty and Department Chairs of review results.
Contract Reappointment Review Checklist
Faculty Provide:
- Faculty Activity Reporting (FAR)
- Contract Review for Continuing Contract Form (requires meeting with Chair)
- Department Required Materials – Departments may require faculty to include additional documents as part of their reappointment review. Departments are responsible for communicating additional requirements to faculty, who should then upload the necessary documents to their Interfolio CCF Reappointment Review case.
Faculty Affairs Provides:
- Course feedback for current contract years
Department Provides:
- Department Committee Reappointment Review Form – this form provides an assessment of the quality, quantity, and impact of the candidate’s teaching, service, professional activities, and applied scholarship and/or creative productions (as applicable). Department Committee (PTC) should provide a clear statement of the candidate's merit for reappointment.
- Chair Reappointment Review Form – this form provides an assessment of the faculty’s case with a clear statement of the candidate’s merit for reappointment
CCF Reappointment Review Process Overview for Faculty
Reappointment review for CCF is conducted and completed via Interfolio by the end of the penultimate year of the faculty’s contract as follows:
- Faculty Affairs notifies all CCF in the penultimate year of their contract that they are coming up for review.
- The contract review process is conducted via Interfolio using the same form as the one used for the annual merit review, called Faculty Activity Reporting (FAR).
- Faculty complete FAR for the time of their current contract, which is from their contract’s start date to present (rather than the 1-year period used for merit review). Please note, all information entered into Interfolio for the FAR from previous years is available all year round and is automatically saved in the FAR and will not need to be re-entered, only updated as needed.
- 3-year contract: FAR is completed for 1.5 years, September 2023 through December 2024
- 5-year contract: FAR is completed for 3.5 years, September 2021 through December 2024
- Faculty Affairs creates a CCF Reappointment Review case for each faculty member in Interfolio, transfers in FAR data, and uploads course feedback into the cases. The case is then shared with faculty.
- Faculty review their CCF Reappointment Review case in Interfolio and upload documents not included in their FAR (see documents listed in checklist). Faculty then submit their case to their Department Committee (PTC) via Interfolio.
- The Department Committee (PTC) reviews each CCF Reappointment Review case in Interfolio and completes and uploads the Department Committee Reappointment Review Form to Interfolio.
- The Department Chair reviews the faculty’s case and the committee’s report and recommendation, and completes and uploads the Chair Reappointment Review Form to Interfolio.
- The Dean makes the final decision regarding reappointment and communicates it to the faculty and the Department Chair.
