SCMS Help

This webpage provides basic instructions on how to use the Steinhardt Content Management System (SCMS). These instructions are by no means complete and SCMS is constantly evolving and improving.

Under certain help topics, you'll see a "show me" link. Click on this link to watch a video tutorial on how to perform a specific tasks.

Logging In

Show Me

  • Point your browser to http://steinhardt.nyu.edu/scmsAdmin
  • Login using your NetID and Password (this is the same information you use to login to NYUHome)
  • Click on the login button

Systems

Show Me

  • The content in SCMS is divided up into systems. Each system has its own unique look and functionality
  • As a user, you only have access to certain systems in SCMS.
  • When you create or edit a page, you must place it in a system.
  • A system can be identified by whatever text directly follows steinhardt.nyu.edu in the URL

The SCMS Homepage: Main Functions

Show Me

The main page presents you with several options for updating content on the website. These functions will also be available using the menu at the top of the screen..

  • Pages: Add and edit pages on the NYU Steinhardt website.
  • News: Add news items so they appear on your department or program's website
  • Internships: Use this to create a list of internships and jobs that students can browse
  • Blurbs: Short snippets of HTML or text that you can use to create menus, sidebars, and reusable content on other pages
  • Systems: View the systems to which you have access and find the pages within that system
  • My Groups: Click on a group name to find out what content your group(s) manage and which other users are in your group(s)
  • Uploads: You can upload images, .pdfs, and files in Word and formats. More information about how to upload files can be found below.

Finding Pages to Edit

  • To begin, click on the "edit pages" link. This will bring up a "filter" form.
  • Now you have to find the page that you want to edit. Use the "filter" form at the top of the page to search for your page, or browse through the list of pages below.
  • To search on a wildcard use the * symbol. (e.g., to find all page titles that begin with "Admiss," search for "Admiss*" – results will include pages with titles such as "Admissions," "Admission Requirements," "Admission Deadlines," etc.)
  • You can also sort your pages by clicking on the column headers.
  • SCMS only displays 50 pages at a time. If there are more than 50 pages, click on the "previous" and "next" links at the bottom of the list.
  • To edit a page, just click on its title or URL suffix.


Editing Pages

  • Every page has four important pieces of data:
    • System: This represents the top level URL. (e.g., pages in the "profiles" system would be found under "steinhardt.nyu.edu/profiles")
    • URL Suffix: This defines the rest of the page's URL. It must be unique and should be short and intuitive.
    • Title: The title of the page. This heavily influences Google search results, so choose the title wisely. Page titles should not be more than 50 characters long.
    • Content: This is where the actual content of the page appears. Use the text editor to make your page appear how you like.
  • Once you have entered information in all of these fields, click on the "save" button at the bottom of the page. You will see a confirmation that your page was saved. You can now click on the "view live" link to view the changes to your page.

Creating a Page

  • You can click on the "Add a New Page" link in the "pages" menu at any time. There is also a "create" button to the right of every list that does the same thing. Click on either of these to create a page.
  • Creating a page works just like editing a page. Fill in the important the four important fields (System, URL Suffix, Title, Content) and click "save."
  • If you are adding a page, it's important to make sure you’re adhering to conventions already in place on your website.
    • For instance, if all philosophy pages appear under the URL Suffix "/philosophy," you should create pages with titles such as "/philosophy/existentialism" and "/philosophy/pragmatism," rather than "/philo/existentialism."
  • Once your new page is created, contact steinhardt.webteam@nyu.edu if it needs to be added to the main navigation of your site.

Deleting a Page

  • To delete a page, click on its title or URL suffix on the list of pages.
  • Click on the "delete" button at the bottom of the SCMS page.
  • IMPORTANT: Once a page is deleted, it is gone forever. Make sure you are certain about deleting a page before you do so.

Copying a Page in SCMS

The easiest way to create a new page on the SCMS is to copy an existing page that looks similar to what you are trying to create, rename it, and then edit it accordingly.

To copy a page in the SCMS:

  • Ensure you are logged into the SCMS
  • Navigate to a page on the site that you would like to copy or re-create
  • Click the "edit in CMS" bookmarklet link in the upper left corner of the screen
  • Scroll down to the bottom of the form and click "copy"
  • Enter a unique path in the "URL suffix" field
  • Scroll to the bottom and click "save"
  • Rename your page, then make any additional edits

Archiving a Page in CMS

In order to archive a page in the SCMS:

  • Ensure you are logged into the SCMS
  • Navigate to a page on the site that you would like to archive
  • Click the "edit in CMS" bookmarklet link in the upper left corner of the screen
  • Scroll down to the bottom of the form and click "archive"
  • Scroll to the bottom and click "save"

Uploading Files

SCMS has an integrated File Manager for handling uploads.

Show Me

  • Access your File Uploads by selecting Uploads -> My File Uploads from the main menu
  • Each user of SCMS has their own directory for uploading files
  • To upload a file:
    • Click on the "upload"button in the upper-right of the frame
    • Click on "choose files"
    • Select one or multiple files from your computer
    • Click on "upload to server." Your files will now be uploaded to the site
  • You can also:
    • Keep your files organized in folders with the "create folder" button in the upper right of the page
    • Delete one or multiple files by checking them off and clicking the "delete" link at the top of the list
    • Download one or multiple files by checking them off and clicking the "download" link on the left

Linking to Files and Inserting Images Within the Content Area

You can also access your file uploads from within the content editor.

To link to a .pdf, .ppt, .doc, or other document:

  • Highlight the text you want to link
  • Click the "link" button
  • In the window that appears, click the "browse" button next to the uppermost textbox
  • Your file uploads will appear. Check off the file you want to link to. You can also upload a new file and then check it off.
  • Click the "insert" link on the left
  • Click the "insert" button
  • The link will now appear

To insert an image:

  • Place your cursor where you want the image to appear
  • Click the "insert image" button
  • In the window that appears, click the "browse" button next to the uppermost textbox
  • Your file uploads will appear
  • Check off the image you want to insert
  • Click the "insert" link on the left
  • Click the "insert" button
  • The image will now appear in the content area. You can resize the image or move in by clicking and dragging.

Creating a Photo Gallery

Show Me

  • Upload the photos you want to appear in your photo gallery
    • Access your File Uploads by selecting Uploads -> My File Uploads from the main menu
    • Click on the "create folder" button in the upper-right of the frame
    • Enter the name of the folder (keep the name simple, and don't use spaces)
    • Click on the "create" button
    • Click on the name of the folder you just created
    • Click on the "upload" button in the upper-right of the frame
    • Click on "choose files"
    • Select the photos from your computer
    • Click on "upload to server"
    • Your files will now be uploaded to the folder
  • Copy the SCMS File Uploads path to the folder you just created. This is the small copy that starts with your NetID and ends with the folder you just created. Do not include "/users/".
  • Go to the edit screen of the page where you want to add the photo gallery
  • To add the gallery as a sidebar on the page enter the following tag: slot:sidebar3_colorbox(gallery,*path_to_the_folder*,*title_of_the_gallery*)
    • The number after sidebar determines what order the gallery will appear in the sidebars
    • *path_to_the_folder* should be the exact path you copied when uploading photos
    • *title_of_the_gallery* is the title that appears at the top of photo gallery. Keep it short and simple, but if you want spaces in the title, use underscores. For example, the title for "Commencement Photos" would be "Commencement_Photos"
  • To add the gallery as an append at the bottom of the page enter the following tag: slot:append3_colorbox(gallery,*path_to_the_folder*,*title_of_the_gallery*)

Bookmarklet - Edit in CMS Button

The SCMS Bookmarklet allows for easy editing of webpages directly from the website.

A bookmarklet is a snippet of javascript that can be bookmarked (or saved as a favorite) inside your web browser. Bookmarklets can enhance webpages, add special functionality and make your browsing experience a lot more efficient by offering one-click access to useful tools.

Edit in CMS

  • You should see a link above labeled "edit in CMS." Click on this to add the bookmarklet.
      • Firefox/Chrome/Safari Users: Simply click and drag the link onto your bookmark toolbar.
      • Internet Explorer Users: Right-click the link and choose "Add to Favorites..."
