Cash or Cash Equivalents’ Handling: A Guideline for NYU Steinhardt Employees

NYU Steinhardt employees process tens of thousands of dollars in cash and cash equivalent transactions each year. If your responsibilities include accepting or safekeeping cash or cash equivalents, it is essential that you are familiar with the proper procedures for the handling and accounting of cash and cash equivalents. Strong internal controls not only ensure the protection of School funds, but they also protect you from potential charges of mishandling funds in the event of an audit or theft.

For this reason, you must notify Steinhardt’s Office of Administration and Finance ( for appropriate training and authorization if you or anyone you supervise (a) handles any form of cash or cash equivalent or (b) accepts payments of any kind.

Cash equivalents include, but are not limited to:

  • Gift cards
  • Debit cards
  • Gift certificates
  • Credit cards
  • PCards
  • Corporate Travel Accounts (CTA)
  • Checks
  • Stamps
